Content Item Editor - Properties

You can create a new content item or edit an existing one. Content item properties are combined with a presentation template to create published content items. Some properties are stored as metadata and do not appear in the published content item.

The Properties page of the Content Item Editor is based on a data entry template, whose properties appear in the Content Item Editor as editable fields, such as text boxes, defined selection lists, fields for downloading files, and boolean (true or false) selections. The values you enter on this page define a particular content item; a presentation template can access these values in order to create the published form of the content item.

Depending on your role, you can modify data entry templates through Publisher Explorer.

Depending on your role, you can perform the following actions to create or edit a content item:

Check In

Check in the content item you checked out. This saves your changes and stores an incremented version of the content item in Publisher. Checking in updated versions allows you to revert to the previous version of the content item or compare it against other versions.

When you check in a content item, you can enter comments for the version, and you can choose to keep the content item checked out for further editing.

Check Out

Open the content item for editing and create a new version of it. To save your changes, click Save or Check In.

Undo Check Out

Discard your changes and revert to the previous version of the document in Publisher.

Preview

View the content item in your browser. You can preview a content item as it will appear when published even while you are still creating or editing it in the Content Item Editor.

The preview option is not available if the content item uses a page component presentation template (that is, a presentation template that is not set up to publish complete Web pages). The content item cannot be viewed as a stand-alone page.

Publish

Publish the content item to the Web server defined in the Publishing Target dialog box.

This button is available if the following conditions are met:

  • Users in the Editor role or higher are editing the content item.
  • The content item is in a publishable workflow activity or is not subject to workflow.

Unlock

Unlock the content item and allow other users to edit it.

Submit for Approval

Save the content item and advance it to the next workflow activity. Once workflow is complete, the content item is published to Publisher.

This button appears only if the content item is new, and it is in a folder that has workflow attached. If the content item has already been submitted to workflow, the Approve, Reject, Transfer, and Assignment Details buttons appear instead.

Approve

Approve the content item and move it to the next workflow activity.

Reject

Reject the content item and send it back to the previous workflow activity.

Transfer or delegate the workflow activity for the content item to another user. This button is available only if the workflow definition allows transferring or delegation.

View details about the workflow assignment for the content item, along with its workflow history.
