Content Items in Workflow Portlet

This portlet displays all content items that you have access to and their current workflow activity. You can use this portlet to monitor, by folder, content items in workflow.

Content Items in Workflow Columns

Column

Description

Content Item

Name of the content item. Click the content item's name to open it in the Content Item Editor (this does not check out the item).

Folder

The folder containing the content item in the workflow.

Activity

The current workflow activity for the content item.

Due Date

Date the content item must complete workflow. Click this column name to toggle the dates in the list between ascending and descending order.

Assigned To

Users or groups currently assigned the content item.

Note: If no user displays, the user assigned to this content item was deleted from the portal.

Workflow Assignment

opens the Workflow Assignment dialog that contains assignment details.

Check Out

One of the following:

  • Check Out. Click this icon to check out the content item and open it in the Content Item Editor. From there you can edit, approve, or reject the item.

  • displays if another user has the item checked out. To see the name of the user who checked the item out, hover your cursor over the icon for a few seconds.

  • If you are the Submitter for this item, this column is blank.

Sorting

You can sort the content items displayed according to name, folder, activity, or due date. By default, the items are sorted by due date, then by content item name. To change the sorting, click the name of the column, which toggles between ascending and descending order.

Note: Column sorting is additive. For example, if you click the Activity column, that column becomes the primary sort column. If you then click the Due Date column, the Activity column becomes the secondary sort column, and the Due Date column becomes the primary sort column. This means that the content items will be sorted first by due date and then by activity.

Folder Filtering

You can view content items in all Publisher folders, or you can view only those content items in a specific folder.
